This Privacy Policy explains how the SAS Help Desk mobile application ("the App"), provided by Saline Area Schools ("the District," "we," "us"), collects, uses, and protects information. The App is an internal tool for District staff to submit and manage help desk requests (IT, Maintenance, and Security/Safety). Access requires signing in with a District Google Workspace account; the App is not intended for use by the general public or by students.

In short: The App collects only the information needed to operate the help desk. Data is stored on the District's own self-hosted systems. We do not use analytics or advertising SDKs, we do not track you across other apps or websites, and we do not sell or share your information for marketing.

Information We Collect

Account information (via Google sign-in)

When you sign in, the App receives your District Google Workspace email address and display name from Google. This identifies you as an authorized staff member and attributes the requests and replies you create.

Help desk content you submit

When you create or reply to a request, the App collects the information you provide, which may include:

  • The subject and description of your request
  • The building and room/location you select
  • The priority you set
  • Any photos or files you choose to attach
  • People you add as assignees or CC recipients (their name/email)

Please do not include sensitive personal information in a request unless it is necessary to resolve the issue.

Device information for notifications

To deliver push notifications about your requests, the App registers a push notification token for your device and associates it with your account. This token is provided by Apple Push Notification service via Firebase Cloud Messaging.

Activity and audit records

To operate the help desk reliably and maintain accountability, the District keeps an audit history of actions taken on a request. This may record events such as when a request was created, replied to, assigned, or when its status or priority changed, along with the staff member who performed the action and a timestamp. These records are internal operational logs used for District recordkeeping and support; they are not used for advertising and are not shared with third parties for marketing.

Camera and photo library

If you choose to attach a photo, the App requests access to your camera and/or photo library. The App only accesses the specific photos you select to attach; it does not browse or upload your library otherwise. You can decline these permissions and still use the App.

How We Use Information

  • To authenticate you and authorize access to the appropriate help desk queues
  • To create, route, assign, and respond to help desk requests
  • To send you notifications and emails about your requests
  • To maintain a record and audit history of requests for District operations

We do not use your information for advertising, and we do not build advertising profiles.

How Information Is Stored and Shared

Help desk data is stored on Saline Area Schools' own self-hosted systems, not on a third-party commercial cloud database. Access is limited to authorized District staff and administrators according to their role.

The App relies on a small number of service providers strictly to operate:

  • Google — for staff sign-in (Google Workspace / OAuth) and email delivery.
  • Apple Push Notification service and Firebase Cloud Messaging — to deliver push notifications to your device.

We do not sell your information, and we do not share it with third parties for their own marketing or advertising purposes.

Data Retention

Help desk requests and their history are retained for as long as needed for District operations and recordkeeping. Push notification tokens are removed when they become invalid (for example, when you sign out or uninstall the App).

Children's Privacy

The App is an internal staff tool and is not directed to children. It is not intended for student use and does not knowingly collect information from students.

Your Choices

  • You can decline camera and photo-library permissions and still use the App.
  • You can disable push notifications in your device settings.
  • You can sign out at any time, which stops push delivery to that device.
  • For questions about the information associated with your account, contact the District IT department (below).

Security

Access to the App requires District Google Workspace authentication. Data is transmitted over encrypted connections (HTTPS/TLS) and stored on District-controlled systems. While no system can be guaranteed perfectly secure, we take reasonable measures to protect the information the App handles.

Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be reflected by updating the "Last updated" date above.
